MeeGo Summit FI 2011 Hosting team

Responsibilities
- helping the speakers (hosts for the tracks: 3+1)
- manages info desk (4 volunteers),
- (assists in catering) Catering will be delivered as package (lunches, coffees, etc.) from Juvenes.
- reception/registration (also portal registration development/management).
- handles videorecording of the sessions and live video broadcast (1 volunteer).
- handles summit notifications at the venue.
- hotel arrangements (1 volunteer) - Riussi
- babysitters for press, divas (yes, there’s always these too) (2 volunteers)

Handle videorecording of the sessions and live video broadcast
Plan is to use nearby TAMK as a resource. Team lead will contact them (during week 2 or 3) and ask if a bunch of students would like to do videorecording and live video broadcast things as a project or exercise for the studies. They possibly would get all necessary equipments from the school. Possibly even some interviews of the speakers and other developers -> web broadcast interviews live.
- TAMK contacted already (7th Jan) and more will reveal next week. Update 20th Jan: No word received back yet.
- Recording keynotes on video
- Live streaming of video from the keynotes
Handle summit notifications at the venue.
- Find out what kind of A/V-systems are in place
- During the summit: announcements
Arrange hotels for speakers
There will most probably be a field in the event registration to check if you need accommodation during the summit. For this purpose we will try to book enough rooms from Omena hotel for summitgoers.
There are two other big events in Tampere at the same time and hotels are filling up fast...
Ask for prices and proposals
- Hotel prices:
- Scandic Rosendahl, 14th - 16th April 2011, 10 single-rooms. Price: 100€/night
- Scandic Tampere City, 14th - 16th April 2011, 10 single-rooms. Price 110€/night.
- Omena Hotel Hämeenkatu 7 and Hämeenkatu 28, 1-4 person rooms, 45€/night.
- Cumulus doesn't have room in Cumulus Pinja or Hämeenpuisto, only Koskikatu. 10 single rooms, 95€/night,
- Dreamhostel provides group rooms. 2 person rooms 58€/room/night, 4 person rooms 88€/room/night or 22€/per bed. They also have dorm rooms for 19,5€/night/person in 10 or 16 person rooms.
